Frequently asked questions, troubleshooting steps, and known limitations of the PIDE ORIC system.

Authentication & Access

I can't log in with my Google account.

Google login is restricted to @pide.org.pk email addresses only. If your Google account uses a different domain, you must use username/password authentication. Contact the system administrator if you need an account created.

My session keeps expiring.

Sessions expire after a period of inactivity for security. Save your work frequently. If you are working on a long form, consider saving as draft before stepping away.

I see "Access Denied" when trying to view a page.

Your role does not have permission for that page. Check the Role Permissions guide to see what your role can access. If you believe this is an error, contact your ORIC administrator.

I forgot my password.

Use the "Forgot Password" link on the login page. A reset link will be sent to your registered email. If you do not receive it within 5 minutes, check your spam folder or contact the system administrator.

Publications (ICT-2)

What journal category (W/X/Y) should I select?
  • W Category: High-impact journals indexed in Science Citation Index (SCI) or Social Sciences Citation Index (SSCI)
  • X Category: Recognized journals in Arts & Humanities Citation Index (AHCI) or Emerging Sources Citation Index (ESCI)
  • Y Category: Other recognized peer-reviewed journals

If unsure, select the category you believe is correct and ORIC staff will verify during review.

I submitted a publication but found an error. Can I edit it?

Once submitted, you cannot edit directly. Contact ORIC staff to request the publication be returned for revision. If the status is already "Under Review," ORIC staff can send it back with comments.

Can I add co-authors after submission?

No, not after submission. You must request a revision from ORIC staff to add or remove authors. All author changes are tracked in the audit log.

My publication is "Locked." What does that mean?

A locked publication is frozen for the reporting period and included in HEC/ORIC scorecard submissions. You cannot edit locked publications. If a correction is needed, contact ORIC staff — they can unlock it if the reporting period is still open.

Grants (Annex-B)

How do I report the grant amount?

Enter the amount in PKR Million with up to 4 decimal places (e.g., 2.5000 for 2.5 million). The system uses DECIMAL(18,4) precision — do not round figures.

Can I add partners after the grant is approved?

Yes, ORIC staff can add or modify grant partners at any stage. Researchers can request partner additions through the grant view page.

What is the difference between "Approved" and "Active" lifecycle stages?

Approved means the funding agency has accepted the proposal. Active means the grant has officially started and funds are being disbursed. ORIC staff transitions grants from Approved to Active when the project begins.

Attachments & Evidence

What file types can I upload?

Supported formats: PDF, DOC, DOCX, XLS, XLSX, JPG, JPEG, PNG, GIF, TXT, CSV. Maximum file size: 10 MB per attachment. Executable files (.exe, .php, .js, etc.) are blocked for security.

I uploaded a file but it says "File not found" when I try to download.

This is a known issue that can occur if the storage directory was moved or cleaned. Contact the system administrator with the attachment ID and submission reference.

Can I delete an attachment after uploading?

Only the submission owner (researcher) can delete their own attachments. ORIC staff and admins can view and download but cannot delete researcher attachments. All deletions are logged in the audit trail.

Notifications

I'm not receiving email notifications.

Check your Notification Preferences in Settings. Ensure the relevant categories (Workflow, Reminders) are enabled. Also check your email spam/junk folder. If the issue persists, contact the system administrator to verify the email queue is processing.

Can I turn off all notifications?

You can opt out of Reminders and some optional categories, but Workflow notifications (status changes on your submissions) are mandatory and cannot be disabled. Admin/Security notifications are also mandatory.

I received a duplicate notification.

The system has deduplication logic to prevent duplicate storms. If you receive duplicates, it may be due to a double-submit or system retry. Report persistent duplicates to the administrator with the notification timestamp.

Reporting Periods

What is a reporting period?

A reporting period corresponds to a fiscal year (e.g., FY 2024-25). All submissions, grants, and publications are associated with a reporting period for HEC scorecard reporting. Admins create and manage reporting periods.

What happens when a reporting period is locked?

All submissions in that period are frozen. No new edits can be made. The data is used for HEC/ORIC scorecard submissions. If corrections are needed after locking, contact ORIC staff — they can unlock specific records if justified.

Known Issues & Limitations

Known Issues
  • File not found on download: Rare cases where attachment records exist in DB but files are missing from storage. Workaround: contact admin to restore from backup.
  • Large PDF uploads may timeout: Files close to the 10 MB limit may timeout on slow connections. Workaround: compress PDFs before upload or use a stable connection.
  • Browser back button after form submission: May show a "resubmit form" warning. Workaround: use the navigation links in the app instead of browser back button.
Known Limitations
  • No bulk import yet: Publications and grants must be entered individually. Bulk CSV import is planned for a future release.
  • Real-time chat is not yet available: Internal messaging (M9) is in the backlog. Use email notifications for coordination until then.
  • Publication PDF preview: PDFs must be downloaded to view; in-browser preview is not yet implemented.
  • Mobile responsiveness: The admin interface is optimized for desktop. Researcher views are mobile-friendly but some complex tables may require horizontal scrolling on small screens.
